Sampling & Production Timeline: How a Custom Waist Bag Gets Made

Most sourcing frustration comes from not knowing what should happen next. This page lays out the full path from first enquiry to delivered goods, with realistic timings at each stage, so you can plan your launch backwards from a delivery date instead of hoping.

The timeline at a glance

A realistic first-order plan: from first enquiry to goods leaving the factory, allow roughly 6–10 weeks for a straightforward product with one sample round. Add time for extra revision rounds, custom dyeing or complex customization.

Stage by stage

1. Enquiry and quotation (1–2 days)

Send us the style, target quantity, fabric preference and logo method — or just a reference image and a rough quantity. We come back with MOQ for your exact spec, pricing, sampling terms and lead time. The more specific you are, the more accurate the quote.

2. Free mockup (1–2 days)

Before anything is made, we produce a visual mockup showing your logo on the bag — placement, scale, color. This is free, and it catches the obvious issues (logo too small, wrong placement, color clash) before anyone spends money on a physical sample.

3. Sample production (7–15 days)

The physical sample is made to your confirmed spec. This is the most important stage of the whole process, because the sample is the reference standard for bulk. Everything gets checked against it later.

What we're deciding together at this stage: fabric hand and weight, color accuracy, webbing and strap comfort, zipper feel, buckle strength, logo placement and finish, internal layout.

4. Revision rounds (7–15 days each)

Most orders need at least one revision. That's normal and it's a good sign — it means you're being specific.

We treat colour, webbing, zipper pull and logo placement as one product, not separate checkboxes. Changing the body colour changes how the webbing reads; a heavier zipper pull changes the balance. Reviewing them together is how a bag ends up feeling right rather than merely correct.

One customer — a US outdoor streetwear brand — spent three months with us going back and forth on a contrast-colour waist bag, refining the colour combination through repeated samples until it was right. They ordered 1,000 pieces on the first run, and they're still ordering today, and we're still developing new styles with them. Sampling isn't a hurdle before the real order. It is the work.

5. Order confirmation

Once you approve the sample, we confirm final specs in writing — dimensions, fabric, hardware, logo placement, packaging — and production is scheduled. Sample fees are refundable on orders of 1,000+, negotiable between 500–1,000.

6. Bulk production (15–30 days)

Cutting, sewing, quality checks and packing, against the approved sample as the reference. Timing depends on quantity and complexity; heavy customization (custom dyeing, custom hardware, bespoke packaging) extends the schedule because those components have their own lead times.

7. Shipping

Air, sea or courier depending on your urgency and volume. We'll advise which makes sense for your quantity and destination.

How to make the timeline shorter

Be specific up front. A vague brief produces a sample that's wrong in ways nobody predicted, and each wrong sample costs a full round.

Approve the mockup carefully. Catching a logo placement problem on a free mockup takes minutes. Catching it on a physical sample costs 7–15 days.

Choose an existing style if you're in a hurry. Our production styles sample faster than a fully custom pattern, because the pattern already exists.

Keep round-one customization simple. Custom dyeing and custom hardware each add their own lead time. Prove the product first, add the deep customization on the reorder.

Plan backwards from your launch. If you need goods in hand by a date, count back: shipping + 15–30 days production + 7–15 days per sample round + quotation. Then add buffer.

What we don't promise

We won't quote a timeline we can't hold. If you need something faster than the standard schedule, tell us the deadline and we'll tell you honestly whether it's achievable — sometimes it is, sometimes it isn't, and knowing which in advance is worth more than an optimistic promise.

FAQ

How long does sampling take? Typically 7–15 days per sample round, plus shipping. Each revision round takes a similar window. Complex customization or custom dyeing can extend it.

How long is bulk production? 15–30 days after the sample and order details are approved. Larger quantities and heavier customization sit at the longer end.

How long does the whole process take? For a straightforward product with one sample round, allow roughly 6–10 weeks from first enquiry to goods leaving the factory, plus shipping time.

Is the sample fee refundable? Sample fees are refundable on orders of 1,000+ pieces, and negotiable in the 500–1,000 range. Anna will confirm for your project.

How many revision rounds are normal? One or two is typical. Some projects — especially colour-critical ones — take more, and that's fine. We'd rather get it right than ship a sample you're not happy with.

Can I visit the factory or see production? Yes. We're a real workshop in Baigou with our own sewing lines, and buyers are welcome. We can also share production photos or video during your run.

What if the bulk goods don't match the sample? The approved sample is the reference standard, which is exactly why the sample stage matters. Specs are confirmed in writing before production, and quality checks run against that standard.
